At the heart of the system is the cash register sales and inventory
control by Department to show daily gross profit margin for each category
of goods in the store. Accurate profit margin reporting shift by shift
is vitally important to spotting problems early. |

Inventory
received is updated directly to the Accounts Payable system
as either an invoice to be paid, or a prepaid (paid-out) invoice.
Items are updated into inventory with the retail price and current
cost of the items by Department. When margins are outside the expected
range, examine the receivings history detail by Department and vendor
to track down changes in received price and cost. Inventory price
adjustments or shrinkage is posted at retail price as often as needed
to manage and analyse actual inventory levels. |
| Cash
register tills are reconciled by shift, with paid-outs, lottery,
and other till accountables added to the sales and cash items; the
till must balance before it is updated. Various reports are available
to analyse trends by employee, shift and day of the week to control
losses and boost sales. Sales and cash may be recapped for any date
range. Purchases to sales ratios are shown by department to catch
possible pilferage early. |

Fuel
received may be posted as a payable invoice or as a transfer to enter
costs without actually generating a payable invoice. Fuel
inventory is reconciled daily as well as month-to-date and
year-to-date. Fuel profitability is analysed by station, pump and
product. Item by item inventory is also available for Gas Station
Tires, Batteries and Accessories inventory counted at the end of each
shift. |
